Work through this dissertation submission checklist in three phases: 7 days before, 48 hours before, and on submission day.

Most marks lost at the end of a dissertation have nothing to do with the research. They come from a mismatched reference, an over-length chapter, a missing AI declaration or a file uploaded to the wrong place. This dissertation submission checklist from The Academic Papers UK gives you 40 checks in the order you should do them, with UK university examples. Your own handbook and assessment regulations always have the final say.

Dissertation Submission Checklist: The Quick Version

Short on time? Complete these 10 final checks before submitting your dissertation:

Your dissertation answers the research questions and meets its stated objectives.

Every required chapter and section is complete, from introduction to conclusion.

Every in-text citation matches an entry in your reference list.

Your word count follows your university's and department's rules.

Formatting, headings, page numbers and layout follow the handbook.

Appendices include required ethics approvals, consent forms and instruments.

Your AI-use declaration follows your university's policy.

Any proofreading stayed within your university's rules.

You have converted the file correctly and checked the PDF page by page.

You have uploaded the correct final file and saved the submission receipt.

Phase 1 (7 Days Before): Dissertation Submission Checks on Content and Structure

Use this week of your dissertation submission checklist to check that your work is complete, logically organised and answers the research question. Fix major gaps now, before you spend time on formatting.

Front matter: title page, abstract, acknowledgements and contents

Title page: the title reflects your research question and includes the student details, course and date your university requires.

Abstract: briefly summarises the aim, methods, main findings and conclusion.

Acknowledgements: included if required or wanted, following your university's guidance.

Contents pages: headings, page numbers and lists of tables and figures match the final document.

Chapters: the golden-thread check

Introduction: the problem, aim, objectives and research questions are clear and consistent.

Literature review: credible, current sources support your argument and establish the gap.

Methodology: your design, sampling, data collection and analysis are justified.

Results and discussion: the findings answer the research questions and the discussion relates them to existing evidence.

Conclusion: answers the questions, revisits the objectives and introduces no new evidence.

Signposting: paragraphs and chapters connect logically with clear transitions.

For help organising chapters, see our dissertation structure guide.

Appendices: ethics approval, consent forms and instruments

Ethics documents: approval letters and any amendments, where required.

Consent and participant information: blank or anonymised versions, with identifying details removed.

Research instruments: questionnaires, interview schedules or other tools.

Supporting data: supplementary tables or coding frameworks, without disclosing confidential participant data.

Labels and references: appendices labelled consistently and referred to in the text. Check whether they count towards your word limit.

Final Phase 1 submission check: read the whole dissertation and ask whether every chapter helps answer the central question. If a section does not, clarify its purpose or cut it.

Phase 1 Continued: Referencing and Integrity Submission Checks

Referencing style: follow the style your university requires, such as Harvard, APA, OSCOLA or Vancouver.

Citation consistency: every in-text citation matches the reference list, and every reference is cited.

Secondary citations: follow your style's rules and never claim to have read a source you have not.

Paraphrasing: put ideas fully into your own words and cite the source. Changing a few words is not enough.

Direct quotations: use quotation marks, page numbers and accurate wording.

Before you submit your dissertation, reread your university's academic integrity policy and our guide to avoiding plagiarism.

Dissertation Submission Word Count: What Counts and What If You Go Over?

Rules differ between UK universities, so check your handbook before calculating your final count. Use this table as a starting point for your dissertation submission checks.

Element

Common approach

Check your handbook?

Main chapters

Included

Yes

Abstract

Often has a separate limit

Yes

Footnotes and endnotes

Often included if they contain discussion

Yes

Tables, figures and captions

Varies

Yes

References and bibliography

Usually excluded

Yes

Appendices

Usually excluded

Yes

Acknowledgements and contents

Usually excluded

Yes

What happens if you go over the word limit?

Over-length penalties are one of the most common dissertation submission problems, and they can be significant. For example, the UCL Institute of Education's policy says work that exceeds the word count by more than 10% is reduced by one grade or 10 percentage points, though not below the pass mark, and material beyond the 10% excess may not be marked. Other universities and departments set different rules, so check yours.

To avoid a penalty, confirm the limit, apply the correct counting rules and cut repetition rather than evidence or analysis.

Declaring AI Use in Your Dissertation Submission

Many UK universities require you to declare any permitted use of generative AI, but the rules vary by programme and assessment. A missing declaration is one of the easiest dissertation submission mistakes to avoid. The University of Leeds, for example, asks students to give four details: the tool name and version, the publisher, the URL and a brief description of how the tool was used.

State the exact tool and version you used.

Describe what you used it for, such as brainstorming or checking grammar, and keep a record of your prompts.

Stay within what your assessment allows. If AI is not permitted for a task, do not use it.

Never use AI to create or falsify references. Check that every source exists and says what you claim.

Example AI-use declaration

Adapt this to your university's policy and your actual use:

I acknowledge the use of [AI tool name and version], published by [publisher] ([URL]), to [brief description of how the tool was used]. I reviewed the output and take full responsibility for the final content of this dissertation.

Place the statement where your handbook says, usually in the declarations section of your preliminary pages. For more on how detection tools work, read does Turnitin detect AI.

Proofreading and Editing: What Is Allowed?

Third-party proofreading is governed by university rules. The University of Essex, for example, permits corrections to language but not changes that rewrite your arguments or substantially restructure your work.

Usually allowed, subject to policy

Often prohibited

Spelling and grammar

Rewriting arguments

Punctuation and typos

Restructuring chapters

Formatting consistency

Adding analysis or content

Flagging unclear passages

Changing research findings

Before hiring a proofreader for your dissertation submission: check your university's policy, agree the permitted scope, ask for tracked changes, keep your original draft and review every edit yourself. Our guide to editing or proofreading explains the difference.

Policy-safe proofreading

Want a final proofread before you submit

Get a proofread within your university's rules, returned with tracked changes so you can review every edit. A wider left margin is common where binding is required.

Font and spacing: check the required font, size and line spacing. Many handbooks ask for 11 or 12 point body text with 1.5 or double spacing.

Page numbers: commonly Roman numerals for the front matter and Arabic numerals from Chapter 1.

Headings: heading levels and numbering are consistent across chapters.

Tables and figures: numbered, captioned and referred to correctly in the text.

Contents pages: update the automatic table of contents and lists of tables and figures.

PDF conversion: fonts, equations, tables, images and page breaks display correctly.

File name: follow the required naming convention, such as CandidateNumber_ModuleCode_Dissertation.pdf, not "final draft 3".

Anonymity: remove your name and details if marking is anonymous, keeping only permitted identifiers such as a student number.

Back-up: save a copy in a second location and confirm the PDF contains your latest revisions.

Remove hidden personal data from your file

Removing your name from the title page is only half the job. Document properties can still reveal who wrote the file. Before exporting the PDF for your dissertation submission:

Word for Windows: File, then Info, then Check for Issues, then Inspect Document. Run the inspector and remove document properties and personal information.

Word for Mac: open Word preferences, choose Security, and tick the option to remove personal information from the file on save. Check the author field in File, then Properties.

PDF: open the document properties in your PDF reader and clear the author field. In Adobe Acrobat Pro you can also use the option to remove hidden information.

Phase 3 (Dissertation Submission Day): Upload, Turnitin and Receipt

On the day, this part of the dissertation checklist is about getting the right file into the right place on time.

Submit early in the day: do not wait until the final minutes, when portals are busiest.

Double-check the portal: confirm the module, submission point, file name and format.

Review the similarity report: if you can see one, look at matched text and citations. A similarity score alone does not mean plagiarism.

Turnitin resubmissions and the 24-hour wait

Where resubmissions are allowed, Turnitin generates a new similarity report straight away for your first three resubmissions. From the fourth resubmission, you have to wait 24 hours for a new report. If you resubmit the night before a morning deadline after using those attempts, you will not see the new report before submission closes.

Use your early resubmissions in the week before the deadline, not on the day.

Treat your submission-day upload as the final version, not a test.

Do not resubmit repeatedly in a panic. Each new resubmission after the third starts a new 24-hour wait.

Save your receipt and confirm status

Save the receipt: download the digital receipt or take a screenshot showing the confirmation, submission ID and time.

Confirm the status: check for a confirmation email and that the portal shows your work as submitted.

Hard copies: print or bind copies only if your university requires them.

If the portal fails

Take screenshots showing the error and the time, keep your final file ready and contact your module leader or assessment team at once. Follow your university's technical failure procedure. Emailing your dissertation does not automatically count as formal submission. You can adapt this email:

Subject: Submission portal failure: [Module code], [Student number]
Dear [Module leader or assessment team], I tried to submit my dissertation for [module code] at [time] on [date], before the deadline of [time]. The portal showed the error in the attached screenshots. I have attached my final file and will follow any instructions you give. Please confirm how I should complete my submission. Kind regards, [Name and student number]

If You Cannot Meet the Deadline: Extensions, ECs and Late Penalties

Contact your university as soon as you think you might miss your dissertation submission deadline. An extension or extenuating circumstances (EC) claim may help, but approval is not automatic.

Extension: a request to move a deadline, usually made before the deadline for short-term problems.

Extenuating circumstances: a formal claim for serious, unexpected events such as illness or bereavement, supported by evidence.

Late penalties: without an approved extension or EC, penalties apply. The University of Nottingham, for example, deducts 5% of the available marks for each 24 hours late, excluding weekends and closure days, until the mark reaches zero.

For a step-by-step plan, read our UK student's deadline playbook.
